Supporter Care

You'll be able to view your entrants by visiting the entrant's module here - https://www.rbcraceforthekids.com/management/participants.

Below we have listed some of the common scenarios you may encounter with managing your entrants.

Managing an entrant

This video takes you through how to make edits to a fundraiser's personal details, see their donations, view the emails they've received and remove/add them to a team.

Donation Management

You'll be able to view the donations associated to your charity by visiting the donations module here - https://www.rbcraceforthekids.com/management/donations.

Below we have listed some of the common scenarios you may encounter with managing your donations.

Adding an Offline Donation
Add funds you've received offline, to contribute to an individuals fundraising page. All donations must be added in the Canadian $ amount. Follow the next video to add the local amount.
Note, these doantions will appear in your Donations report, but not your Transaction report.

Updating an offline donation to the local currency
If you've added an offline donation, but you're event is not in CAD, then this video details out how to update the amount to display your local currency. 
Note, you must add the donation in the equivalent CAD amount first. E.g. a £10 donation would be added as $15.83 CAD.

Editing and updating a donation record

Each donation made creates what we call a donation record. The information from the donation record is what pulls into your donations report. However, you may need to update some of the personal information on the donation if a donor has made a mistake. You can then also re-issue their receipt and made the donation anonymous.

Re-assigning a donation

Sometimes a donor may request a donation is moved to another fundraising page. The donation has already been received, so cannot be moved to a different Stripe/bank account, but we can update where the donation appears. 

Reports

Within the Data Exports module on the platform - https://www.rbcraceforthekids.com/management/reports - you can access your templated reports to pull data on your ticket sales, fundraisers, teams, donations and transactions. These reports will be set up for you, however, you can rename cells, move them around and edit the report as you wish.

The below outlines how the main reports work and the data you can gain from them.


Ticket Holder Report


Your ticket holder report lists out all the individual purchased tickets. 
This includes details such as:

  • Ticket: Adult / Youth / Child
  • Member Type: E.g. Adult In Person
  • First and Last Name
  • Shirt Size
  • Distance
  • Ticket purchaser details

If ticket holders create a fundraising page, these details can be found in your Fundraiser's report. 

Fundraisers Report


Your fundraiser's report lists out those with a fundraising page and their achievements. 
This includes details such as:

  • Member Type: E.g. Adult In Person
  • Manages By: If they are a youth being managed by another adult fundraiser
  • First and Last Name
  • Email
  • Active: Y/N - Y means they have an active fundraising page
  • Invited By: If someone else purchased their adult ticket, then they will have been invited by another fundraiser. These people will remain Inactive=N until they follow their join URL and create their fundraising page. 
  • Team details (if they're in one)
  • RBC specific questions 

There are two instances as to why the field Member type will be blank. 

  1. The person who purchased the tickets did not allocate one to themselves. In this case, they have an inactive record. E.g. A team assistant purchasing tickets for her team members.
  2. The person registering did not complete registration and abandoned before completing. (They will not have any tickets allocated to them until they finalise registration.)

Teams Report

This report provides a topline overview of the teams created in your event.

This includes details such as:

  • Team Name
  • Captain
  • Amount raised (CAD)
  • Number of members
  • Number of active members (those who have an active fundraising page)

This report cannot list the individual members of a team. This can be obtained from the Fundraisers report, and filtering by team name. 

Donations Report

Your donations report will list out all the donations you have received. This includes the donations transactions through the platform, and also any manually added.

The report will list out details captured on the donor, payment details and whom the donation is assigned to, either a fundraisers page, and/or team page, or a donation page.

Some fields to note:

  • Anonymous: If Y, this means the donor has chosen to hide their name to the individual/team they're sponsoring
  • Amount (Local): If your event is not in Canadian dollars, then this is the donation amount in your local currency
  • PO Number: This is the tax receipt number

Transactions Report

A transaction report lists out all the payments transacted through the platform, so this includes donations and registration fees. 

Some fields to note:

  • Stripe Fee: This is the fee charged by Stripe
  • Mandatory Fee: This is the platform fee
  • Payout Reference: This will be blank if no payout has occurred. Please allow 24 hours for this to display after payment.
